WithinSodo Vendor Guide

Welcome, and thank you for being part of an event at WithinSodo. This guide is designed to give our vendor partners clear, practical information to support smooth planning, confident arrivals, and seamless execution. You can also view our FAQ page here :)

Venue Overview

WithinSodo is a multi-room, industrial-modern event venue located in Seattle’s SODO neighborhood. Events may utilize one or multiple interconnected spaces, including the Rooftop Deck, Ballroom, Lounge, Gallery, and Parlor. Each space has unique amenities, access points, and flow considerations, so advance review of layouts is strongly encouraged.

Parking & Arrival

Street parking is available along Utah Ave S and the surrounding streets. Please note that posted No Parking signs along Utah Ave S are actively enforced Monday through Friday, 9am–5pm. Outside of these business hours, WithinSodo has special permission for guests and vendors to park in these areas.

Vendors should plan to carpool when possible and must not block driveways, alley access, loading zones, or fire lanes at any time. Guests are encouraged to use street parking or rideshare services. Vendors should not direct guests to vendor load-in or loading areas.

Load-In & Load-Out

All vendor load-in and load-out must occur within the client’s contracted Event Period unless otherwise approved in writing. Early delivery, advance drop-off, or overnight storage is not permitted. WithinSodo is not responsible for items left before or after the contracted event window.

Load-in access points vary depending on the spaces rented and will be confirmed by the client or their coordinator. A WithinSodo Site Manager will be onsite to assist with access and answer venue-related questions, but does not provide labor for setup or teardown.

Timing Matters

Please plan adequate time for setup and breakdown within the contracted rental hours. Late pickups, extended access, or vendor delays may result in additional fees billed to the client.

Do note that clients are permitted to make adjustments to their rental hours up to 30 days prior to the event date. Final timelines should always be confirmed with the client or their designated coordinator.

Floor Plans, Photos & 3D Tour

To support planning, WithinSodo provides a 3D tour along with a photo gallery and architectural floor plans, all accessible in the same section of our website. These resources are the best way to understand room connections, ceiling heights, sightlines, and real-world event layouts.

Many clients use Prismm for collaborative floor planning. If you are working with a client and would like to know whether a live Prismm layout exists, please reach out to the WithinSodo team (email below). When available, we are happy to share view or collaboration access as appropriate. Prismm layouts are working documents and may evolve as the event approaches.

Coordination & Onsite Management

A WithinSodo Site Manager is onsite for every event to oversee the venue, enforce policies, manage timing, and serve as the primary venue contact day-of. The Site Manager does not function as an event planner or vendor coordinator.

All clients are required to designate a Day-Of Coordinator (DOC) or primary event representative. This information is collected during our 60-day bar and timeline meeting to ensure clear communication and accountability on the event day.

Catering & Food Service

All catered events must be supported by full-service catering as outlined in the WithinSodo Event Services Agreement. Caterers must be fully licensed and insured and are responsible for staffing, food service execution, bussing, trash removal, and cleaning of all food preparation and service areas. Drop-off catering is permitted only when paired with hired service staff capable of fully supporting food service and cleanup.

All caterers must provide a Certificate of Insurance naming WithinSodo LLC DBA WithinSodo as Additional Insured and Certificate Holder. Caterers must remain on-site for the duration of food service and check out with both the client hired DOC and the WithinSodo Site Manager prior to departure.

Please note that all venue outlets are 110-volt. We do not recommend the use of hotboxes or food warmers unless they are specifically rated for 110-volt service, as higher-demand equipment may trip breakers.

Bar Service

All alcohol service is provided exclusively through WithinSodo. No outside alcohol is permitted without prior written approval. Bar staffing, service hours, and final menus are confirmed during the client’s required bar consultation. Any bar-related questions from clients should be directed back to the WithinSodo team.

Insurance Requirements

All vendors operating onsite must carry General Liability Insurance and provide a Certificate of Insurance naming WithinSodo LLC DBA WithinSodo as Additional Insured and Certificate Holder. Certificates must be valid through the full event date and submitted no later than 30 days prior to the event unless otherwise approved.

Décor, Installations & Venue Care

To protect the space, the following guidelines apply. Fine-gauge fasteners 16-gauge or smaller are permitted. All strings, wires, tape, and temporary installation materials must be fully removed by the end of the event. Small fasteners may be left in place only with prior approval from WithinSodo management.

Confetti, glitter, and loose debris are not permitted. All candles must be fully enclosed, and nothing may be installed outside the building without written approval. All décor must be removed within the contracted event period.

Music, Sound & Power

The Lounge features a dual XLR input located at the base of the dressing rooms, allowing audio to be piped throughout the building. Volume levels are adjustable by room. WithinSodo can provide basic cables and adapters for simple playlist setups; however, DJs and bands should plan to bring their own equipment to connect to their mixing boards.

There are ample 110-volt outlets throughout the venue to support standard amplification and AV needs.

Security & Compliance

Security may be required based on event type, guest count, or timing. Security is arranged by WithinSodo and billed to the client. All vendors must comply with federal, state, and local laws while onsite.
